Company letterhead printing
Most offices now print letters as they need them, so a modern letterhead has to do two things: carry your logo and legal details, and still run through your desktop printer. We print short runs for solicitors, surgeries, accountants, charities and small firms around SW17, and can talk through the paper before we print.
What a UK business letterhead should include
There is no single required format, but some details are required by law. Under UK company rules, a limited company must show the following on its business letters:
- Its registered company name
- Its company number and the part of the UK where it is registered
- Its registered office address
If you are a sole trader or partnership using a trading name, you must also show the owner's or partners' names and an address where documents can be served. VAT numbers must appear on VAT invoices, and many businesses simply add them to the letterhead. Regulated firms may need additional wording, so check with your regulator. GOV.UK has the current details.
Layout that works
A UK letterhead is normally A4 (210 x 297 mm). Keep the logo to the top, keep the legal details small at the bottom, and leave the middle clear. If you use window envelopes, remember that the recipient's address must line up with the window once the sheet has been folded, so we can check this against the envelope you plan to use.
Printing right to the edge of a sheet needs a slightly larger sheet that is then trimmed. Plain white margins are cheaper and just as professional, so mention your preference and we can advise.
Choosing paper for your office printer
A 100 to 120gsm uncoated paper feels better than ordinary 80gsm office paper and normally runs well through desktop machines. Tell us whether you use a laser or inkjet printer. Laser machines use heat, which can upset some coatings and inks, so a simple test sheet is a sensible step before a full run.
Word letterhead templates
If you type your letters in Word, we can also supply your design in a form you can use as a template, for occasions when you email letters as PDFs. Printed sheets and a digital version then look the same to your customers.
Ordering
Send your logo and company details, and we will set up the layout free of charge when we print it, then send you a proof. Because many small firms get through letterheads slowly, we are happy to print a modest quantity to begin with. Matching business cards are simple to add from the same artwork.
Questions we hear about letterheads
Will your letterheads work in my office printer?
They should, provided we know the type of printer. Laser machines are fussier about heat and coatings, so tell us what you use before we print.
What must a limited company put on its letterhead?
Its registered name, company number, place of registration and registered office address. Your accountant or GOV.UK can confirm what applies to you.
What paper weight is best for a letterhead?
Around 100 to 120gsm uncoated paper is a common choice. It feels better than office paper and still feeds through most printers.
Can you print just a small quantity?
Yes. Short runs are normal for letterheads, and we will quote for the quantity that you need.
